Please read these Terms of Service carefully before using the CartaGrid platform. By accessing or using CartaGrid, you agree to be bound by these terms.
1. About CartaGrid
CartaGrid Limited (“CartaGrid”, “we”, “us”) is registered in England and Wales. Registered office: 14 Clifton Moor Business Village, James Nicholson Link, York YO30 4XG. We provide an allergen compliance and menu management platform for UK food businesses, accessible at cartagrid.com.
2. Acceptance of Terms
By registering for or using the CartaGrid platform, you (“the Subscriber”, “you”) agree to these Terms of Service and our Privacy Policy. If you are registering on behalf of a business, you confirm you have authority to bind that business to these terms.
3. The Service
CartaGrid provides a software-as-a-service (SaaS) platform enabling food businesses to:
- Manage menu items, ingredients, and allergen declarations
- Generate and maintain HACCP plans and compliance records
- Maintain an immutable allergen conversation audit trail
- Produce allergen matrices and compliance documentation
- Automate compliance alerts and staff training records
4. Subscriber Responsibility for Compliance Data
CartaGrid is a compliance management and record-keeping tool. It structures, stores, and helps administer information that the Subscriber and their staff provide — it does not independently verify, generate, or assume responsibility for the accuracy of that information.
This applies specifically to:
- Allergen and ingredient data — the accuracy of allergen information, ingredient lists, and “may contain” declarations entered into the platform is the sole responsibility of the Subscriber.
- HACCP plans and risk assessments — CartaGrid's AI-generated HACCP plans and Hazard Analysis tools provide a structured starting framework only. All Critical Control Points, risk scores, and risk levels must be reviewed and verified on-site by a competent person nominated by the Subscriber (e.g. a member of the Subscriber's HACCP Team) before being relied upon. An unverified, AI-generated plan does not constitute a compliant HACCP plan.
- Owen's Law conversation logging — CartaGrid records the conversations and outcomes that staff log. It does not conduct, prompt the content of, or verify the substance of allergen conversations between staff and customers.
CartaGrid Limited accepts no liability for allergic reactions, injury, illness, or harm of any kind arising from incorrect, incomplete, outdated, or unverified compliance data entered, approved, or relied upon by the Subscriber or their staff. Subscribers must ensure all allergen information, HACCP risk determinations, and related compliance data are verified, accurate, and kept up to date in accordance with UK food safety law, including Owen's Law and the Food Information (Amendment) (England) Regulations 2023.
5. Subscriptions and Payment
CartaGrid is offered on a subscription basis. Pricing is as displayed on our website at the time of purchase. All subscriptions include a 14-day free trial with no credit card required. Following the trial period, payment is due in advance on a monthly or annual basis, as selected by the Subscriber.
- Payments are processed securely via Stripe
- All prices are exclusive of VAT where applicable
- Subscriptions renew automatically unless cancelled
- You may cancel at any time; cancellation takes effect at the end of the current billing period
6. Acceptable Use
You agree not to:
- Use CartaGrid for any unlawful purpose
- Attempt to gain unauthorised access to any part of the platform
- Introduce malicious code or interfere with platform integrity
- Resell or sublicense access to CartaGrid without written consent
- Enter false or misleading allergen, ingredient, or compliance information
7. Data and Privacy
Your use of CartaGrid is governed by our Privacy Policy and Data Processing Agreement. You retain ownership of all data you enter into the platform. CartaGrid processes your data solely to provide and improve the service.
8. Availability and SLA
CartaGrid targets 99.9% monthly uptime. Our full Service Level Agreement is available at cartagrid.com/sla. Platform status is monitored at status.cartagrid.com.
9. Intellectual Property
All CartaGrid software, branding, documentation, and platform functionality is the exclusive intellectual property of CartaGrid Limited. Nothing in these terms transfers any IP rights to the Subscriber.
10. Limitation of Liability
To the maximum extent permitted by law, CartaGrid's total liability to you for any claim arising from use of the platform shall not exceed the total fees paid by you in the 12 months preceding the claim. CartaGrid is not liable for indirect, consequential, or incidental losses, including those arising from Subscriber-entered or Subscriber-verified compliance data as described in Section 4.
11. Termination
CartaGrid may suspend or terminate your account if you breach these terms, fail to pay, or if continued service would expose CartaGrid or others to legal or reputational risk. On termination, your data will be retained for 30 days before deletion, during which you may request an export.
12. Governing Law
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
13. Changes to These Terms
We may update these terms from time to time. Subscribers will be notified by email of material changes. Continued use of CartaGrid after notification constitutes acceptance of the updated terms.
